Thank you for choosing BEFOREourtime Retail Group. Due to the custom nature of our photography, videography, and creative production services, all bookings are subject to the following policy.
1. No Returns
As our services involve the allocation of personnel, equipment, studio time, scheduling, planning, creative development, and production resources, completed services are non-returnable and non-refundable.
2. Deposits Are Non-Refundable
A non-refundable deposit is required to secure any production date, photography session, videography session, event coverage, or creative project.
Once a booking is confirmed, the deposit is earned by BEFOREourtime as consideration for reserving production time and turning away other potential clients for that date.
Under no circumstances will deposits be refunded, including but not limited to:
Client cancellation
Change of plans
Scheduling conflicts
Venue changes
Weather-related concerns
Personal emergencies
Business closures
Dissatisfaction unrelated to a breach of contract by [Agency Name]
3. Rescheduling Policy
Clients may request a one-time rescheduling of their production date instead of receiving a refund.
Rescheduling requests must be submitted in writing and are subject to the following conditions:
The request must be made at least 10 days before the scheduled production date.
The new production date must be selected within 1 months of the original booking date.
Rescheduling is subject to agency and crew availability.
Previously paid deposits will be applied toward the new date.
Additional fees may apply if the new date requires different staffing, equipment, travel, permits, or production requirements.
Failure to select a new date within the specified timeframe may result in forfeiture of all amounts previously paid.
4. Client Cancellations
If a client cancels a project after booking:
The deposit remains non-refundable.
Any completed pre-production work, planning, consultations, creative development, scripting, location scouting, editing, design work, travel expenses, rentals, permits, or third-party costs already incurred will be billed and remain payable by the client.
Any balance paid beyond the deposit may be refunded solely at the discretion of BEFOREourtime, less any costs incurred and services performed.
5. No Refunds for Creative Preference
Photography and videography are creative services. By booking our services, clients acknowledge that artistic style, editing choices, composition, color grading, and creative direction are subjective.
Refunds will not be issued based on:
Personal taste or artistic preference
Requests for alternative editing styles after project completion
Changes of mind
Failure to review our portfolio before booking
Minor variations in appearance, lighting, weather, locations, poses, or creative decisions
6. Client Delays and No-Shows
If a client fails to appear, arrives excessively late, is unprepared, or otherwise prevents the production from taking place:
No refunds will be issued.
The production may be shortened or canceled at the agency's discretion.
Additional fees may apply for overtime, crew standby time, or rescheduling.
7. Force Majeure
BEFOREourtime shall not be liable for delays, interruptions, or inability to perform services due to events beyond reasonable control, including but not limited to:
Severe weather
Natural disasters
Government actions
Public health emergencies
Labor disputes
Utility failures
Transportation disruptions
Equipment failures beyond reasonable control
Acts of God
In such circumstances, the agency may offer a rescheduled production date when feasible, but refunds are not guaranteed.
8. Third-Party Costs
Payments made toward third-party vendors, rentals, permits, travel arrangements, accommodations, talent, locations, or other external services are non-refundable once incurred.
The client remains responsible for such costs regardless of project cancellation.
9. Digital Deliverables
Due to the nature of digital products and downloadable content:
Delivered photographs, videos, edited content, digital files, and media assets are non-returnable.
No refunds will be issued after final files have been delivered.
The client is responsible for downloading and backing up delivered files.
10. Chargebacks and Payment Disputes
By submitting payment, the client agrees to these terms and agrees not to initiate chargebacks or payment disputes for services rendered in accordance with the agreed contract.
Any chargeback or payment dispute initiated in violation of this policy may result in collection actions, recovery of legal fees, administrative costs, and suspension of all ongoing services.
11. Limitation of Liability
To the maximum extent permitted by law, BEFOREourtime's total liability for any claim arising from services provided shall not exceed the total amount paid by the client for the specific project.
BEFOREourtime shall not be liable for indirect, incidental, consequential, special, or punitive damages, including loss of profits, business interruption, or reputational harm.
12. Acceptance of Policy
By booking services, signing a proposal, paying a deposit, paying an invoice, or otherwise engaging BEFOREourtime, the client acknowledges that they have read, understood, and agreed to this Return, Cancellation & Rescheduling Policy.

Invoices are due according to the payment schedule specified in the applicable proposal, invoice, or agreement.
Failure to make payments when due may result in suspension, cancellation, withholding of deliverables, late fees, legal action, or collection efforts.
3. Non-Refundable Deposits
All deposits are non-refundable.
Deposits reserve production time, personnel, equipment, and resources and compensate the Company for turning away other business opportunities.
Deposits may be applied to a rescheduled production date in accordance with our Return, Cancellation, and Rescheduling Policy.
4. Client Responsibilities
The client agrees to:
Provide accurate information.
Obtain all necessary permissions, licenses, permits, and approvals.
Secure authorization from property owners, venue operators, and participants.
Ensure timely communication and cooperation.
Arrive on time and prepared for scheduled productions.
Designate an authorized representative to approve creative decisions when applicable.
The Company is not responsible for delays or failures caused by incomplete information, client misconduct, or lack of cooperation.
5. Production Schedule and Delays
Production schedules are estimates only.
The Company is not liable for delays caused by:
Weather conditions
Traffic
Venue restrictions
Equipment malfunctions
Government regulations
Third-party vendors
Client delays
Circumstances beyond reasonable control
Additional fees may apply for overtime, waiting time, additional production days, or schedule changes.
6. Creative Control
The client acknowledges that photography and videography involve artistic judgment.
The Company retains sole discretion regarding:
Camera angles
Lighting
Composition
Editing
Retouching
Color grading
Music selection
Storytelling approach
Final creative decisions
The Company is not required to replicate examples, inspiration images, social media content, or prior projects exactly.
7. Deliverables
The Company will provide deliverables as specified in the applicable proposal or agreement.
Unless expressly stated otherwise:
Raw, unedited footage is not included.
RAW image files are not included.
Project files are not included.
Editing project timelines are not included.
Additional deliverables may be purchased separately.
8. Revisions
Projects include only the number of revisions specified in the applicable proposal or agreement.
Additional revisions, changes, or editing requests beyond the included scope may be billed at the Company's current rates.
9. Delivery Timelines
Delivery dates are estimates and not guarantees.
The Company shall not be liable for delays resulting from:
High production volume
Client revision requests
Technical issues
Vendor delays
Events beyond reasonable control
10. Intellectual Property
All photographs, videos, recordings, edits, graphics, content, and creative works produced by the Company remain the exclusive intellectual property of the Company unless otherwise agreed in writing.
The Company retains all copyrights and ownership rights under applicable copyright laws.
No ownership rights are transferred unless expressly stated in a written agreement.
11. Client License
Upon full payment, the client receives a limited, non-exclusive, non-transferable license to use the final delivered content for its intended purpose.
The client may not:
Resell content
Transfer content ownership
Modify content in a way that damages the Company's reputation
Claim authorship of the content
Grant sublicenses without written permission
Unless expressly permitted in writing.
12. Promotional Use
The client grants the Company the right to display, publish, reproduce, distribute, and use project content for:
Portfolio purposes
Marketing materials
Social media
Website content
Awards submissions
Industry publications
If confidentiality is required, a written agreement must be executed before production begins.
13. Third-Party Materials
The Company may utilize third-party music, stock footage, graphics, templates, software, or licensed content.
Such materials remain subject to their respective licensing terms and ownership rights.
14. Limitation of Liability
To the fullest extent permitted by law, the Company's total liability for any claim relating to services provided shall not exceed the amount actually paid by the client for the specific project giving rise to the claim.
